Cross-listing Course Sites

This text will describe the process of cross-listing in CCLE and the procedures for different cross-listing requests given the close association with builds. It explains how to "cross-list" additional course sites and how to cross-list course sites where the subordinate sites have already been built.

 

Terminology

Terminology differs between the University and CCLE. For the Registrar, "cross-listing" refers specifically to a course offering where the same course could be applied to different subject areas; for example, Near Eastern Studies 150 is cross-listed with Iranian 150; Near Eastern Studies 150 is not crosslisted with Near Eastern Studies 250, because they are in the same subject area. Neither would two sections of the same subject area and course number be "cross-listed" according to the Registrar, e.g. English 10A Sections 1A & 1B.

In CCLE, "cross-listing" refers to joining two or more courses with unique SRS numbers into one course site. Subject area, course number, and status as a graduate or undergraduate course are not considered for the purposes of cross-listing in CCLE.

Cross-listing a course site with unbuilt courses

  1. To cross-list two or more courses, you must build the primary and subordinate course sites simultaneously – e.g., for Japanese 4-1, 4-2, and 4-3, Japanese 4-1 – will be the primary course and Japanese 4-2, and 4-3 will be the subordinate courses.

  2. Follow the procedure for “Building a single course site” above (or as follows):

    1. From the Site administration menu, select Courses > UCLA course requester.

    2. On the new page, under “Get classes from Registrar,” select the appropriate term from the drop-down menu, then select the correct subject area from the second drop-down menu, and click “Get department courses.”

    3. Below the entry area, the entire subject area course list will appear in a table that includes the course number, title, instructor, and build status. Since the course site hasn’t been built, there will be check marks in the checkboxes for “E-mail instructor” and “To be built.” Leave those checked, as this will indicate to the instructors that their sites are ready.

  3. Find the primary course from the list (i.e. Japanese 4-1). Find the column for “Cross-listed SRSes.” Here, enter one SRS number for the subordinate class, then click “Add additional SRS field.” Clicking produces a checkbox listing for the subordinate course. The checkbox should be checked.

  4. For every additional subordinate course, repeat step 3. (Note: you are not yet finished.)

  5. IMPORTANT: Once you have entered all subordinate class SRS numbers and their checkbox listings are all visible, scroll to the very bottom of the page and click “Submit Requests.” The cross-listing will only proceed if you click this button.

After clicking “Submit Requests,” the cross-listing will take place on the next scheduled build. You can verify your pending request from the Course Requester page. Under “View existing requests, ” select the term and subject area for the primary course with which you cross-listed the subordinate course(s).


Cross-listing a course site where other course sites are built (more common)

  1. Instructors often request that we cross-list courses after the individual course sites have already been built separately. To proceed, you must first delete the subordinate course site(s). If you don’t do this, you’ll get an error message when you attempt to associate the subordinate SRS number to the primary course site.

    1. Under the Site administration block, navigate to Courses > Manage courses/categories.

    2. On the Course categories page, locate the drop-down menu for “Viewing” on the upper right. Select the option “Course categories and courses.”

    3. Under the column for Course categories, locate the link for “Humanities” and click on it to expand to the available subject areas.

    4. Locate and select the subject area. Subject areas under Humanities are listed alphabetically, but you can also find your subject area link quickly with a text search (Ctrl-F or Cmd-F). Once located, click on it.

    5. The right column will populate with built courses for the subject area in last-built-first order. Locate the subordinate course site, and look for a trash can icon in the menu to the right of the listing. Click the trash can to delete the course. If the course has materials in it, you will be notified. Be sure to perform a backup in this case.

    6. Repeat steps d (if other subject areas are affected) and e for other subordinate course sites.

    7. DO NOT DELETE THE PRIMARY COURSE SITE! YOU WILL BE PLAGUED BY ANGRY BEES. Also, you will have to contact CCLE Home to restore the primary course site, which is slightly worse.

  2. After you have deleted the subordinate course sites, follow the procedure for “Building a single course site” above (or as follows):

    1. From the Site administration menu, select Courses > UCLA course requester.

    2. On the new page, under “Get classes from Registrar,” select the appropriate term from the drop-down menu, then select the correct subject area from the second drop-down menu, and click “Get department courses.”

    3. Below the entry area, the entire subject area course list will appear in a table that includes the course number, title, instructor, and build status.

  3. Find the primary course from the list. In the first column, you will see a message that says “This SRS number has already been submitted as a request.” Below this message, select the “Edit this request” link in a new tab. This will allow you copy the necessary SRS numbers from the Course Requestor page.

  4. On the new page, find the column for “Cross-listed SRSes.” Here, enter one SRS number for the subordinate class, then click “Add additional SRS field.” Clicking produces a checkbox listing for the subordinate course. The checkbox should be checked.

  5. For every additional subordinate course, repeat step 3. (Note: you are not yet finished.)

  6. IMPORTANT: Once you have entered all subordinate class SRS numbers and their checkbox listings are all visible, scroll to the very bottom of the page and click “Save changes.” The cross-listing will only proceed if you click this button.

  7. If you have successfully cross-listed, you will see a blue box. If the cross-list was unsuccessful, you will see a red error box.

After clicking the "Save changes" button, the cross-listing will take place immediately (you do not need to wait for cron to run). You can verify this by visiting the primary course site, where you should see active Registrar links for the subordinate course sites in the Course description. In addition, in the Browse By for the affected subject area(s), clicking on the subordinate site(s) will redirect to an error page.

Notes

When cross-listing a site for which the subordinate course sites have already been built, it's imperative to delete those subordinate course sites before proceeding with the cross-listing. The cross-listing will not complete if the SRS number you plug into the UCLA course requester under "Additional sites" is already assigned to a built course site.

It's also very important not to delete any course site you wish to keep active. Once a course site is deleted, the SRS number assigned to that course site does not become available for reuse. In the rare event of an accidental deletion, the RITC will want to contact CCLE Home (specifically, Rex Lorenzo) to request release of the SRS number for rebuilding.
