The Scheduler module helps you to schedule one-on-one appointments with all your students. You specify the periods during which you are available to see the students and the length of each appointment. The students then book themselves into one of the available time slots. The module also lets you record the student’s attendance for future reference.

Quick start for the Moodle Scheduler

This section shows you how to make your first Moodle scheduler.

Creating a basic scheduler

  1. Click the Turn editing on button in the top right of your course page.

  2. Click Add an activity or resource at the bottom of this page.

  3. In the box that appears, choose "Scheduler" from the list of activity types on the left and click Add

  1. A new page will appear called "Adding a new Scheduler."

  2. You can add a name and description for this scheduler under the General section. These can be changed later.

  3. The Options section includes some additional customizations.

    • Role name of the teacher: specifies the role title for the administering person (e.g. “Instructor”)

    • Mode: specifies the number of time slots a student can sign up for and whether this limit is for each time the student uses the scheduler or in total

      • By selecting “in this scheduler” for mode, you may limit students to a fixed number of appointments overall (resulting in text that looks like “Students can register __ appointment(s) in this scheduler”). Even if the instructor marks the student as “seen” after an appointment, the student will not be able to book further meetings.

      • When set to “at a time," the student will be able to make another appointment once their appointment has been completed.

    • Booking in groups: default does not allow students to book in groups; other options include allowing booking for all officially designated groups and groupings (for more information on groups and groupings in CCLE, see: https://humtech.ucla.edu/instructional-support/ccle-activities-resources/groups-and-groupings/

      • Note that irrespective of the group features, slots always remain assigned to one teacher and zero or more individual students, and are not as such tied to a group.

    • Guard time: allows instructor to set a time frame before an appointment during which students cannot make or delete appointments

    • Default slot duration: specifies default appointment length (See step 12.)

    • Notifications: changing this from the default “no” to “yes” sends both students and instructors a notification when an appointment is requested or cancelled

  4. Booking form and student-supplied data: optionally, students can be presented with a booking form in which they can enter a message for the teacher or upload files. They can also be required to solve a CAPTCHA to prevent automated bookings.

  5. Scroll to the bottom of the webpage and click Save and display button.

  6. A new page will appear with the name of your scheduler at the top.

  7. Click on "Add slots.”

  3. A new page will appear, as shown below.

    • All time slots must occur in the future.

    • You may specify many details here such as the length of each slot, what happens if multiple students may sign up for the same slot, and a location.

  2. Scroll to the bottom of the webpage and click Save changes.

After these steps, a basic scheduler will appear.  Below are instructions on using it.

Using a Scheduler after Setup

Instructors can view their appointments in a scheduler by clicking on the scheduler’s link within their course site.

The page that opens allows instructors to see what time slots have been created and filled for the scheduler.  It also enables them to add more slots or schedule students.  A sample list of time slots can be seen below.

You can use the Bruin Learn Calendar to:

  • View and create activities in your course as well as events and personal reminders; you can also filter the calendar view to only see specific calendars

  • Add assignments to a blank course.

  • Adjust the dates of assignments that have been imported from previous terms.

  • Copy the iCal feed for all of your courses and import it to your preferred personal Calendar, such as Google or Outlook

  • Schedule appointments with students

Navigating the Canvas Calendar

  • When you click on the calendar icon on in the left hand global navigation menu, you will see a view that looks like this:

  1. Assignment due dates and events (such as office hours) are included on the calendar and color-coded based on the class to which they pertain.

    1. Each item on the calendar is displayed with an icon next to it to tell you what kind of item it is ex. assignment. Ungraded assignments with due dates will also displayed on the calendar.

    2. Note: you can change the color for a course by clicking on the three vertical dots next to it.

  2. You can see the list of courses included on your calendar and turn them on or off on the right hand side of your screen.

  3. Calendars that are not active are displayed in gray.

  4. If you scroll down a bit further, you will see an “undated” category, which you can expand to see course items that do not have a due date.

  5. At the bottom, right hand side of the screen, you will see a “Calendar Feed” button, which you can use to export your Bruin Learn Calendar to other calendar applications.

View Options

  • At the top of your screen, you will see view options: week, month, or agenda.

    • The agenda option will display items in a list view.

  • All day events will be displayed without a specific time included.

  • If there are multiple due dates for an assignment, you will see it displayed multiple times on your calendar.
